If you are a job seeker and participate in an employer-created assessment, this information is shared with the respective employer.
• Interview Data: If you participate in an AI interview through the platform, we collect video, audio, transcripts, and screenshots. These data are collected with your consent and are used solely for recruitment evaluation purposes.
• AI Voice Screener Data: If you engage with the AI Voice Screener, we collect: Audio recordings of voice interactions; Transcriptions of conversations; Voice tone and emotion analysis; Session metadata (e.g., duration, timestamps); Employer-provided screening questions.
• Disclosure: All AI interactions begin with a disclaimer stating that the session is conducted by AI, recorded, and evaluated. Proceeding with the interaction constitutes your consent.
• Cookies and Tracking: We use cookies and tracking technologies, including Google Analytics, Firebase Analytics, and Microsoft Clarity, to enhance user experience, analyze trends, and track user movements around the platform.

2. Data Storage

• Storage Infrastructure: All data is securely stored on Google Cloud Servers, NeonDB, and cloud services used by our AI and telephony partners. We are in the process of SOC 2-compliant and employ encryption and role-based access to safeguard user data.
• Retention Period: Data is retained according to the employer's selected plan. It is deleted either upon request by the employer, by the job seeker, or upon account termination.

3. How We Use Your Data

• Service Delivery: Conduct AI interviews and voice screenings; Share assessment results with employers; Provide insights and analytics to improve hiring outcomes; Match candidates with suitable job opportunities.
• AI Training and Model Improvement: We may use anonymized and de-identified data (with all personally identifiable information removed) to improve our AI algorithms, including for voice and text analysis. Your personal data will never be used in model training without de-identification.

4. Sharing of Data

• With Employers: Data is shared only with the employer responsible for the interview or screening you have participated in.
• Third-Party Services: We do not sell or share your personal data with third parties. However, third-party services (e.g., Anthropic, OpenAI, ElevenLabs, Google Cloud, Google Playstore, Apple App Store, Firebase, LiveKit) may access your data solely to deliver our services securely and reliably.

5. User Rights

• Access and Deletion: You may request deletion of your account and data at any time by emailing us at support@ratch.ai. Once verified, we will process your request promptly.
• Data Correction and Limitation: You may request modifications to your personal data or limit how we use your information. Requests can be submitted via support@ratch.ai.

6. Security Measures

• We implement industry-standard security practices, including: Encryption of data in transit and at rest; Secure access controls; Regular audits and monitoring.
• Ratch Meet is in the process of obtaining full compliance with GDPR, SOC 2 Type 2, and ISO 27001 standards.

7. Cookies and Tracking Technologies

We use cookies to personalize your experience and improve platform performance. You can manage cookie settings in your browser. We also use Google Analytics, Firebase Analytics, and Microsoft Clarity to analyze user behavior and improve platform usability.

8. Legal Compliance

We are in the process of compliance with relevant data protection laws, including the Digital Personal Data Protection Act (India, 2023), General Data Protection Regulation (GDPR), Indian IT Act, and other applicable global privacy regulations. Users are responsible for compliance with recording laws in their jurisdictions when using AI interview features.

9. AI Interview System – Additional Privacy Notes

• All AI interviews include a spoken or displayed disclaimer at the beginning of the session.
• Employers are responsible for ensuring lawful use of the feature under local voice/video recording and employment laws.
• We store and process this data securely and do not permit its use for non-recruitment purposes.
• Voice tone, facial expression, and response metadata may be collected for analytics and fairness improvement.
• You may request deletion of interview-related data by contacting support@ratch.ai.

10. Children's Privacy

Ratch Meet is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children under 18.

11. Changes to This Privacy Policy

We may update this Privacy Policy periodically. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Effective Date."
